Design Part - Work on the drawings and data

Familiarize yourself with the scope of work before starting a construction project. You should collect all the GFC Drawings and schematics and look at them in design detail, checking for any mistakes, problem areas, or unfamiliar markings to rise RFI (Request for information)

If there are no floor plans or GFC drawings, need to hire an architect and MEP consultant or request one through your client. After the design part closure, we need to analyze the drawing and make notes on security risks, Design confusion, finishes schedule used & MEP requirements, and materials used on the finishes. Raise questions for clarification to the architect and consultant on design discussions meetings

Work on the budget | Preparation of BOQ with the client inputs.

Based on the inputs, Drawings & Scope of the work, we need to prepare BOQ under the budget of the client or its scope of requirements. Usually, the estimating the budget you will need to calculate the budget for yourself, but if not, you should consider:

1.   Labor costs (contractors, supervisors, and stakeholders – architect, consultants & OEM consultants)

2.   Material costs

3.   Equipment and tool costs

4.   Land Development Costs

5.   Transportation Costs

6.   Security enforcement and insurance costs – Car policy, EFPFO….

When setting the budget, you should consult with professional engineers, architects, design consultants, and all your stakeholders. Ask everyone what they think is needed to complete the project and add % costs.

Always Plan and calculate unexpected expenses by adding % to the budget. You should never underestimate the cost of a construction project! Using software to analyze cost. After fixing your budget for the project seek for the contractors to give a quote as per your BOQ abstract sheet and finalize the team as per your requirements Which is explained below in detail

Nominate Direct or Sub-Contractor

At this point, the contractor can send out a request for bids to give you plenty of time to respond. To hire a contractor, you need to provide plans, an initial budget, and more information about the project. Once you request bids, contractors will send you the expected terms and costs of the job, so you can accept the most competitive rates.

What are the Steps Involved in Bidding?

1. Package strategy Finalization – Type of contract, Project duration (on 1st Pitch), Project Billing details, Packages in project & Client packages (if any), Design requirements – Shop dwg

2. Vendor Pool Screening & Finalization

3. Issuance of tender

4. Pre-Bid Meeting

5. Bid Submission by consultant/Vendors (Pre-bid response)

6. Bid Opening & Sign-Off

7. Bid Assessment

·       Technical assessment & meeting

·       Commercial negotiation & assessment

·       Compliance assessments

8. Final Techno-Commercial discussion

9. Final Vendor Recommendation

10. Appointment of consultant/Vendor

11. LOA/Purchase Order Release

12. Award of work

13. Regret Note

Depending on the scope of your project and the contractors you want, you may want to use a specific contract format. Always, check every detail before signing anything. Make sure you and your contractor understand what the plan is before legally binding your relationship.

Building Permits | Make copies of your permits.

A work permit is a written form used to authorize jobs that endanger workers to serious hazards. It recognizes the work to be done, the hazards involved, and the necessary preparation and precautions for the job. Examples of jobs needing work permits are those requiring employees to enter and work in confined spaces, repair, maintain, or inspect electrical installations, or use large or complex equipment.

Prepare Project schedule

The construction project schedule consists of the duration of construction of various components of the work. Based on the availability of the following data, the construction schedule can be made:

(i) Number of activities

(ii) Quantity of various items of works

(iii) Labor contribution and number of field workers

(iv) Machinery required

(v) Stages of activities to be executed

Prepare HSE/Safety Plan.

An HSE plan to focus on the health, safety, and environmental policies, procedures, and processes of your company and project. The goal of the HSE/safety is to create a consistent and reliable framework that you can apply to all your projects to improve project outcomes.

The impacts on health, safety, and the environment are critical to the success of the project. The health and safety of your workers must be the priority, while your management of the environment will also have a direct impact on the course of your projects and the sustainability and viability of your company.

An HSE plan helps companies to think consciously about their HSE approach and then make changes and adjust the plan based on what is happening on site. Approaching the HSE to build in this way ensures that you are continually improving and iterating on your HSE practices.

HSE plans come in many shapes and sizes, but most are component plans that cover environmental and health, and safety management elements or activities.

The Article below should be part of your health and security delivery strategy, HSE/Safety Plan for Construction, HSSE Requirements, and Site Setup Requirements

Make WSM on QA/QC Requirement Construction Plans

Quality assurance (QA) and quality control (QC) are critical components of any construction project. It helps to ensure that our project meets all requirements and that any defects are identified and corrected before they cause serious problems.

The main goal of the QA/QC program is to ensure that the project should complete meeting all customer requirements specified in the contract documents, and WSM Submitted, and to avoid potential problems that could cause delays on the project timeline and cost

To obtain these goals We need to record the inspection with a quality checklist, test data, Reporting defects, MIR, and document corrections based on WSM

Arrange Temporary Facilities

Before work begins on a construction site, be it a large or small project, many services must be temporarily set up. This is in addition to permanent services required for complete development and temporary site facilities required for the welfare of workers.

Creating temporary site services should be part of site layout plans. These are prepared by the contractors as part of their mobilization activities prior to the commencement of work on site. The below list is some of the temporary facilities required before starting construction projects

1. Temporary Lighting facilities

2. Site Office – Table, Container office or temporary partition room, Fan, power supply

3. Temporary DB board with industrial sockets

4. Water Supply

5. Temporary restroom for Laborer’s and Engineers

6. CCTV Camera

7. Covid Protocols

8. HSE posters

Procure the materials.

Procurement is a term that describes the process of purchasing goods and services. In building construction, materials procurement is the process of selecting, ordering, invoicing, paying, and delivering to the site materials required for building construction. The goals of material procurement are said to be to purchase the best product at the right quality, quantity, time, and price.

Collect billing Supporting documents.

The most common construction billing methods. Three main billing options in the construction industry include Advanced Billing: Billing before the project begins. Billing Balance: Billing at the end of the project. Progress Billing: Billing as the project progresses.

The following are the supporting documents for billing (Example)

1. MIR - Material Inspection Report

2. Work Progress Report

3. JMR – Joint Measurement Record

4. ESI

5. PF statement

6. Invoice Bill
